Coordinating a destination wedding means holding room blocks across partner hotels, tracking who has booked, collecting payments in installments over months, and arranging airport transfers for guests arriving from everywhere. Our Canadian client was running all of it through spreadsheets and disconnected tools, and it stopped scaling as his business grew. Space-O Technologies built DestaPay as a custom web application that consolidates room inventory, guest management, staged payments, RSVP tracking, and travel logistics into one system. Guests get a self-service portal for booking and payment. Organizers get a dashboard covering every wedding group at once, with AI-generated reporting on revenue and outstanding balances.

About the DestaPay Platform
DestaPay is a group hotel booking platform built for destination wedding companies operating across North America. It manages the entire lifecycle of a wedding group, from holding room inventory through to coordinating airport pickups on arrival day.
Three groups use it. Organizers run room blocks, guest lists, payments, and travel logistics. Staff work within permission-scoped roles covering their own area. Guests book their own accommodation, choose a payment plan, and manage their reservation without contacting anyone.
The payment model reflects how destination weddings actually work. Guests commit months ahead and pay across a schedule rather than upfront. Stripe handles deposits, installments, autopay enrollment, invoicing, reminders, and refunds, with every transaction visible in a searchable ledger.
How We Built the Group Hotel Booking Platform
Our client coordinates destination weddings, room blocks, guest accommodations, payments, RSVPs, and travel logistics for resort-based events. As his volume of groups, guests, hotel partners, and reservations grew, spreadsheets and separate tools stopped holding the operation together. Six core modules make up the delivered platform.
Room Block and Inventory Management
Requirement:
The client needed centralized control over hotel room blocks, inventory, availability, and pricing rules across several wedding groups running in parallel.
Solution:
We built a room block management system where organizers configure room categories, pricing rules, availability, and bookings from one dashboard. Overbooking protection is enforced at the inventory level, which matters more here than in standard hotel booking, since an oversold block on a wedding weekend has no recovery path.
Guest Management and Invitations
Requirement:
Guest coordination spanned invitations, RSVP tracking, booking status, payment monitoring, and communication, all handled separately before.
Solution:
We built a centralized guest management layer covering profiles, invitations, booking status, payments, travel details, and wedding participation. Organizers email invitations, import guest lists in bulk, track invitation status, and measure booking conversion per group. Everything about a guest sits in one record rather than across four tools.
Self-Service Guest Booking Experience
Requirement:
Every guest booking previously required organizer involvement, which made the coordinator a bottleneck for a hundred separate reservations.
Solution:
Guests browse accommodations, compare room categories, review resort amenities, choose travel dates, and complete reservations independently. Pricing adjusts automatically based on dates, room type, and stay duration. Removing the organizer from routine bookings freed them for the work that genuinely needs judgment.
Stripe Payment and Installment Engine
Requirement:
The platform needed deposits, installment plans, autopay, invoice generation, reminders, refunds, and full financial tracking across every group.
Solution:
We built payment handling on Stripe supporting full payment or staged installments with autopay enrollment. Guests see transparent schedules, access invoices, and track payments in real time. Administrators work from a searchable ledger covering every deposit, installment, refund, and transaction across all wedding groups.
RSVP and Travel Coordination
Requirement:
Attendance tracking, flight information, airport transfers, and travel schedules were managed outside any system.
Solution:
We built RSVP and travel management into one layer. Guests submit flight details, manage arrival and departure schedules, and request airport transfers from their portal. Organizers monitor arrivals, departures, flight schedules, and transfer assignments from a single dashboard covering the movement between airports, hotels, and venues.
AI Reporting and Platform Governance
Requirement:
Financial reporting was compiled by hand from scattered sources. The client also needed staff working inside the platform without full access to every group and every transaction.
Solution:
We integrated Gemini 2.0 Flash to generate revenue reports, collected versus outstanding balances, booking conversion, payment distribution, and group performance. Role-based access control sits alongside it, with Super Admin, Sub-Admin, and custom staff roles carrying permissions set at module level. A support ticketing system handles guest inquiries within the same governance structure.
